POSITION PURPOSE/SUMMARY
Provides comprehensive administrative support to the guidance department through organizational and technological skills to ensure the smooth and efficient operation of the guidance department and student success.
QUALIFICATION REQUIREMENTS
Education Office Professional (Guidance Department) shall have a minimum of a high school diploma or its equivalent, a high level of customer service and competence in clerical skills as demonstrated by the District's skills assessments, and be proficient in Microsoft Office, Microsoft Excel, and Google Office Suite.
ESSENTIAL DUTIES
Manage student enrollment, withdrawals, and transfer processes in coordination with counseling staff, including: Processing enrollment documentation Requesting, tracking, and sending student records/transcripts Maintaining accurate digital and physical files Maintain and update student information in district-approved software systems, ensuring data accuracy and compliance Process and coordinate distribution of academic reports including: Progress reports Report cards Honor Roll certificates Transcripts Student schedules Schedule and manage appointments for counselors. Maintain, update, and distribute student academic records including: Grade point averages (GPAs) Honor Roll lists Cumulative files Coordinate with building principals on grade reporting timelines and communication to teachers. Maintain archived student records in compliance with student data retention policies and process record requests in accordance with FERPA guidelines. Generate and compile statistical data for required state and district reports. Maintain the confidentiality of all school-related matters.
HIGH SCHOOL ONLY
Maintain accurate transcripts for each student. Maintain, monitor, and adjust grades/credits due to PAS, ACE, YES, UMC/cc, VIP grades. Track and report dropout prevention data. Maintain graduation tracking system and final graduation roster. Calculate and verify class rankings including the "Top 10" list for the graduating class. Support guidance department chair with: State and school reporting requirements Registration processes and registration events College application processing Scholarship documentation
ADDITIONAL DUTIES
Effectively communicate, verbally and in written form, with administrators, staff, and the community as needed. Assist other Education Office Professionals as needed to ensure building success. Perform other duties as assigned by the supervisor. Participate in required professional development and training.

Ability to maintain highly confidential and sensitive information; communicate clearly both orally and in writing, and/or ability to reason and make appropriate decisions. Solve a variety of problems in many different situations and perform in a fast-paced environment.
PHYSICAL DEMANDS
While performing the duties of this position an employee is regularly required to sit, talk, and hear. The employee is frequently required to walk and use fingers and controls. The employee is occasionally required to stand, reach, bend, lift, and carry up to ten pounds. Close vision ability to look at a computer screen for long periods is required. TERMS OF EMPLOYMENT
Employment will be on an at-will basis for 12 months with two weeks vacation, beginning July 1, or from the time of employment for the duration of the school year with prorated vacation and/or personal leave. Each Education Office Professional (Guidance Department) will be provided a work calendar showing the specific daily work schedule of the employee. The work calendar may be modified by the Board of Education at any time, as needs dictate. Eight hours will constitute a workday. The Chief Human Resources Officer will establish a definite daily schedule. The yearly salary will be disbursed in twenty-four (24) equal payments.
EVALUATION
Performance of this job will be evaluated annually in accordance with the provisions of the Board's policy on evaluation of support staff personnel.
