Project Administrator Sealo-O-Matic Paving Company Riverside, MO Job Details Full-time $60,000 - $75,000 a year 22 hours ago Benefits Paid holidays Health insurance Dental insurance Paid time off Retirement plan Qualifications Record keeping Filing Financial software Attention to detail Construction administrative experience Full Job Description Project Administrator Position Summary The Project Administrator supports the planning, coordination, documentation, billing, and closeout of construction projects from preconstruction through final completion. This role works closely with Operations, Estimators, Project Managers, Superintendents, subcontractors, vendors, clients, General Contractors, and Owners to help ensure projects are administered accurately, documented properly, and completed in accordance with contract requirements. Key Responsibilities 1. Project Coordination & Administration
  • Assist internal team members with daily project administration and coordination.
  • Coordinate communication between field staff, subcontractors, architects, engineers, clients, General Contractors, and Owners.
  • Maintain project files, logs, current drawing sets, and document control systems.
  • Prepare, track, and distribute submittals, shop drawings, material approvals, ASIs, bulletins, and Certificates of Insurance.
  • Ensure subcontractor and vendor compliance with contract requirements and project documentation standards. 2. Cost, Billing & Financial Support
  • Help track project costs, budgets, schedules of values, and change order documentation.
  • Prepare and submit monthly progress billings, pay applications, lien waivers, sworn statements, and related contract documents.
  • Enter billing information into required third-party platforms and maintain supporting records in project files.
  • Support accounts receivable tracking and follow-up, including reconciling payments, investigating short-paid invoices, and maintaining aging documentation.
  • Assist with monthly job costing reviews to identify and address quantity, cost, or billing discrepancies. 3. Field Support & Closeout
  • Assist with project meetings, project turnover, and closeout activities.
  • Compile warranties, final closeout documents, and required turnover information.
  • Build out project files to completion, update final billing information, and organize digital and physical closeout records.
  • Perform additional duties as assigned to support project and operational needs. Qualifications
  • Strong communication skills and the ability to coordinate effectively with internal teams, clients, subcontractors, General Contractors, and Owners.
  • Organized, detail-oriented, and able to manage multiple priorities in a fast-paced construction environment.
  • Problem-solving mindset with the ability to track and resolve administrative, billing, and project documentation issues.
  • Experience with construction billing, accounts receivable, project documentation, and construction software platforms preferred.
  • Knowledge of progress billing, lien waivers, change orders, submittals, and closeout documentation preferred.
