PRIMARY PURPOSE OF THE JOB
The Office Coordinator plays a central role in creating a welcoming, organized, and efficient office environment while providing administrative and logistical support across the organization. This position ensures smooth day-to-day operations, delivers a high-quality experience for donors and visitors, and strengthens internal coordination across teams.
ESSENTIAL FUNCTIONS AND PERFORMANCE AREAS
Office & Facility Coordination Own daily office operations, including phones, supplies, deliveries, and overall workspace readiness Maintain a clean, organized, and functional office environment, including shared spaces and grounds Manage office supply inventory, ordering, and restocking Coordinate with IT vendors to maintain and troubleshoot office equipment and systems Front Desk & Donor Experience Serve as the first point of contact for visitors, donors, and partners Create a welcoming, professional, and mission-aligned experience for all guests Respond to routine inquiries and direct individuals to the appropriate staff Maintain strong familiarity with organizational programs and resources to confidently answer common questions Administrative Support Provide administrative support to Marketing, Chapter Services, and Operations teams Assist with scheduling, calendar coordination, and meeting preparation Maintain organized digital and physical filing systems Exercise judgment in prioritizing requests and handling day-to-day administrative needs Event & Logistics Support Support planning and execution of events, including fundraisers and conferences Coordinate logistics such as materials, setup, and vendor communication Provide on-site event support, including setup and teardown as needed Assist with post-event follow-up and documentation Inventory & Program Support Maintain organization and accuracy of inventory systems Track, restock, and monitor supplies to support program needs Coordinate donation sorting and distribution logistics Support basic data entry and updates related to inventory and program tracking General Administrative Duties Scan, file, and maintain organizational records Provide data entry and general administrative support Perform other duties as assigned to support organizational needs
KNOWLEDGE, SKILLS, AND ABILITIES
Strong organizational and time management skills with the ability to manage multiple priorities Customer-service mindset with strong interpersonal and relationship-building skills Attention to detail and commitment to accuracy Clear and professional verbal and written communication Proficiency in Google Workspace and Microsoft Office
EDUCATION, TRAINING, AND EXPERIENCE REQUIREMENTS
Bachelor's degree preferred or equivalent professional experience Experience in an office or administrative role preferred Experience in a nonprofit or customer-facing role is a plus
