TITLE:
Secretary (High School)
REPORTS TO
Principal
JOB GOAL
To complete the detail and written work required by the position; to coordinate other matters essential to the efficiency and effectiveness of the supervisor.
SUPERVISORY RESPONSIBILITY
N/A ESSENTIAL
DUTIES AND RESPONSIBILITIES
Other duties may be assigned. Assists the Principal in screening telephone calls and visitors and recording messages, etc. Assists the Principal and persons assigned to him/her. Attends meetings and types notes from meetings per request. Collaborates with other secretaries to ensure the receptionist area is covered. Assists all other administrative staff, teachers and non-certified staff as directed. Sort mail for the school. Type correspondence and reports for the principal. Assist in the use of office copiers as needed; file. Type letters and notices to parents/guardians and staff for the school Take telephone calls, relay messages to the principal, students and staff. Stamp and prepare mail for the post office. Process approved purchase orders and verifies invoices. Assist the principal in public relations work in which he/she is involved. Manage and process payroll, attendance, etc. Other duties as identified
QUALIFICATIONS
High School diploma; prior secretarial experience; technology skills..
EDUCATION AND EXPERIENCE
LANGUAGE SKILLS Ability to read and analyze, and interpret general business periodicals professional journals, technical procedures, or governmental regulations; Ability to write reports, business correspondence, and procedure manuals; Ability to effectively present information and respond to questions from groups of administrators, staff, and the general public.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions; Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is frequently required to sit, talk or listen. The employee is occasionally required to stand, walk, reach, bend, and sometime lift up to 25 pounds. Mobility skills are necessary to access a variety of work locations. OTHER SKILLS and
ABILITIES
Ability to apply knowledge of current research and theory in specific field; Ability to establish and maintain effective working relationships with students, staff and the community; Ability to communicate clearly and concisely both in oral and written form; Ability to perform duties with awareness of all district requirements and Board of Education policies.
WORK ENVIRONMENT
The employee will work in an environment adhering to school board policy. This position may require work hours that vary as a result of evening activities or emergencies. In addition, job requirements may require work on weekends, holidays and attendance at meetings.
