- Full-time Qualifications Job Overview Seeking a high-functioning, highly organized, and proactive Personal Assistant to provide support for a HNW individual.
This role must have at least 2 years of experience in a personal assistant role in a personal, home setting. Relocation to North Carolina will be arranged for the ideal candidate. This position will be coordinating daily with other house staff and needs to have previous experience in HNW households.
Responsibilities Calendar Management:
managing appointments, prioritizing meetings, and resolving scheduling conflicts.
Communication:
Screening phone calls, drafting emails, and acting as the primary point of contact for client.
Travel Planning:
Booking flights, securing accommodations, and preparing detailed itineraries. Providing support remotely while client is traveling. Some travel required
- if needed, assistant to travel to international meetings and coordinate aspects of international trips.
Administrative Duties:
Organizing files, preparing reports, and processing expenses. Assist with data entry tasks, maintaining accurate records for household expenses: ordering, stocking, and organizing the house with necessary items.
Personal Errands:
Running personal or household errands, organizing events, and managing personal schedules
Events:
Support project coordination efforts by tracking deadlines, deliverables, and progress updates. Party and event planning, both in the house and event space coordination.
Additional Responsibilities:
Interpret between Spanish-English for communication with other team members. Qualifications and Experience Must have at least 2+ years of personal experience with a HNW individual Must have experience in a household or estate with animals Must have experience coordinating with other household staff
Calendar Management:
This role requires someone who is highly organized and can handle multiple tasks and directives throughout the day. Calendar management is only part of the role. Additionally, this role needs to ensure that a the client remains on schedule throughout the day.
Communication:
This role requires someone who has experience in strong, high level communication in order to handle conflicts and ensure the client's expectations are met. This includes having multiple contacts throughout different industries that they can rely on to achieve requests. While ensuring strong, direct communication, this client prefers communication that is rooted in calmness and kindness.
Travel Planning:
This role should have high level experience booking travel arrangements, both commercial and private flights. This role should be able to ensure seamless changes to the itinerary while the client is traveling, to ensure transportation, reservations, and other specific needs are met while the assistant is remote. This support may be required to travel ahead of client to ensure travel plans are properly arranged.
Administrative Duties:
This client has multiple businesses and some support expectations may cross over into those entities. This role will need to have some basic administrative experience and to work with administrative staff. Needs to have Microsoft experience with word, excel, and power point and be able to work with IT support to troubleshoot computer or technology issues.
Personal Errands:
This client expects that this support role is proactive and anticipates the needs of the household and personal needs. This role will be expected to drive or fly in order to ensure the tasks are completed.
Events:
This role is expected to book events (plays, socials, lunches/dinner, etc) on a weekly basis for client. Also, the client enjoys hosting friends at their home and needs additional support on those days (Saturdays or Sunday afternoons) as well as preparing the home for those regular events. There will also be multiple events each year that will require more event planning skills and coordination.
ie:
Holiday parties, nonprofit fundraisers, and company events. This role will be expected to manage the process and work with others to ensure successful events.
Other:
This role should have experience coordinating with household maintenance, scheduling vendors, subcontractors, and maintenance teams to ensure property is maintained to standards. It is preferred for this role to have had experience on an estate in a rural area and not just homes in large cities. It is preferred for this role to have some meal prepping experience. Full meals are not expected, however specific snacks and light prepping would be helpful to support the client throughout the day.
