Position Overview As the first point of contact for Allegra, you will set the tone for our client experience. This role is perfect for a high-energy, communicative professional who thrives on variety. You will split your time between warmly welcoming clients (in person and on the phone) and collaborating closely with our project management team and Executive Administrator to keep operations running smoothly.
Key Responsibilities Client Engagement:
Serve as the first point of contact for prospective and current clients; handle onboarding, fact-finding, and meeting scheduling.
Front Desk Operations:
Manage incoming phone calls and routing; greet walk-in clients with a professional and welcoming presence.
Project Support:
Partner with the project management team to understand client needs, promote additional services, and enhance overall project value.
Administrative Assistance:
Support the Executive Administrator with clerical duties, database management, accurate data entry, and reporting.
Follow-Up & QA:
Conduct follow-up communications after estimates are sent and orders are completed; participate in quality assurance to ensure deliverables meet our high standards.
Team Collaboration:
Maintain a clean, organized workspace and stay flexible to assist with other duties as assigned.
Qualifications & Skills Communication Expert:
Exceptional written and verbal communication skills; professional telephone etiquette and polished email communication are a must.
Tech-Savvy:
Proficiency with Microsoft Office Suite (Outlook, Word, Excel) and standard office equipment (computers, copiers, printers). Experience with Adobe Reader preferred.
Adaptable Multi-tasker:
Ability to stay calm, positive, and organized under pressure while managing dynamic customer needs.
