Handle calendar management and scheduling for multiple departments or executives, ensuring appointments are organized and conflicts are minimized. Perform data entry, filing, and document proofreading to maintain accurate records and support administrative workflows. Utilize office management software such as Microsoft Office Suite, Google Workspace, and QuickBooks to prepare reports, spreadsheets, invoices, and financial documents. Support bookkeeping tasks by tracking expenses, processing invoices, and assisting with basic financial record keeping. Coordinate office supplies procurement, manage mail distribution, and oversee general office organization to ensure a tidy and efficient workspace. Provide clerical support including typing correspondence, managing electronic files, and assisting with special projects or personal assistant duties as needed. Requirements Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and QuickBooks is essential. Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting. Strong communication skills with an emphasis on professional phone etiquette; bilingual abilities are a plus. Experience with multi-line phone systems, data entry, filing systems, proofreading, and customer support is highly desirable. Prior experience as a receptionist—dental or medical—personal assistant or in administrative roles will be considered an asset.
