Job Overview We are seeking a dynamic and organized Office Assistant to join our team! This vital role involves supporting daily office operations, managing administrative tasks, and ensuring a smooth workflow across departments. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills. As an Office Assistant, you will play a key role in maintaining an efficient office environment, providing exceptional customer service, and supporting management with various clerical duties. Duties and Responsibilities Manage all provider's schedules with accuracy and knowledge of availability Schedule, cancel, and reschedule client appointments based on each provider's availability Check clients in and out and make sure that all documentation is accurately recorded and managed Collect client payments at check in being sure to follow all billing notes Handle any client issues that may arise and pass to the office manager if unable to deescalate the situation Create intake packets for providers and collect background information when new clients start services Have effective communication with all administrative staff and clinical staff Maintain/update medical records for all clients Maintain office supplies and communicate needs with office manager Check and respond daily to all voicemails Be proactive in overall management of office functions and activities Keep the office manager informed of all activities that may impact office functions or clinical activities Send out appointment reminders when necessary Handle records requests appropriately following HIPAA guidelines and office standards Log any outgoing and incoming client records and/or correspondence Make sure all special projects are completed within the given time frame Recommended Qualifications Proven experience in an office environment with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively Strong typing skills and computer literacy for efficient data entry and document management Experience with front desk operations, phone etiquette, and customer service excellence Ability to handle multiple responsibilities with professionalism and a positive attitude
