Administrative Team Leader Gibson Oil & Gas Company, Inc. 9340 Morgan Street, Laurel Hill, NC 28351 From $60,000 a year - Full-time From $60,000 a year - Full-time Position Summary Gibson Oil & Gas is seeking a highly organized, service-driven professional to serve as our Administrative Team Leader. This multi-faceted leadership role supports customer service, financial administration, scheduling, office management, and oversight of administrative support staff. Key Responsibilities Customer Care & Communication
  • Oversee office role as primary contact for customers via phone, email, and in-person interactions.
  • Deliver exceptional, servant-hearted customer service with professionalism, empathy, and urgency.
  • Build strong customer relationships through clear communication and follow-through.
  • Educate and assist customers regarding service offerings, scheduling, billing, and propane-related needs.
  • Communicate proactively with customers regarding appointments, delivery schedules, and service updates. Service & Delivery Coordination
  • Oversee scheduling of service calls, installations, propane deliveries, and maintenance requests.
  • Work closely with field technicians and delivery drivers to ensure efficient and timely service execution.
  • Maintain a safety-first mindset when coordinating service and delivery operations.
  • Communicate bulk fuel delivery information to convenience store and commercial customers.
  • Coordinate communication with convenience store operators regarding inspections, equipment repairs, permitting, and mystery shop feedback. Financial & Administrative Support
  • Oversee processing of Accounts Payable (AP) functions, including invoice entry, purchase order matching, and vendor communications.
  • Oversee Accounts Receivable (AR) functions, including invoicing, payment processing, and customer account follow-up.
  • Assist leadership and financial administration personnel with Key Performance Indicator (KPI) tracking and operational reporting.
  • Generate billing statements, reports, and operational documentation using company software systems.
  • Maintain accurate customer, financial, and operational records with confidentiality and integrity.
  • Assist with inventory coordination for liquids, service supplies, and operational materials. Office Operations & Team Support
  • Support leadership by overseeing all administrative projects, reporting, and operational initiatives.
  • Oversee new team member onboarding, training coordination, and administrative workflow management.
  • Oversee human resources administration, including benefits paperwork and employee documentation.
  • Coordinate safety documentation and training records to support company compliance initiatives.
  • Coordinate annual insurance renewals, including general liability, auto, and workers' compensation documentation.
  • Support execution of marketing initiatives and communication with outside marketing partners.
  • Identify innovative opportunities to improve customer communication, workflow efficiency, and office operations. Technology & Software Use
  • Utilize Microsoft Word, Excel, and company software platforms for reporting, scheduling, and documentation.
  • Perform accurate data entry and maintain organized digital records across multiple systems.
  • Coordination of communication systems and operational technology support. Qualifications
  • High integrity and self-motivation.
  • Strong office management, customer service and communication skills.
  • Strong organizational and multitasking abilities.
  • Previous AP/AR, billing, or supervisory experience preferred.
  • Experience with Microsoft Office and administrative software.
  • Familiarity with propane, fuel distribution, or service industries preferred.
