Job Description
Community Development Administrative Assistant The Community Development Administrative Assistant provides support for the operations of the River Landing Sales and Administration office. This position is instrumental in supporting the residential development activities of the community, including the Property Owners Association, the Architectural Standards Committee, Community Development, and the Custom Home Program. This is a full-time position.
REQUIREMENTS
The Administrative Assistant must display exceptional interpersonal skills and be able to communicate positively and effectively, both orally and in writing. This position requires strong computer skills to help maintain a large and comprehensive database and other software programs, as well as assisting in the preparation of meeting presentations. The person in this position must be able to prioritize multiple tasks in a fast-paced environment while ensuring accuracy and efficiency. They must also have the ability to handle and maintain sensitive information. Because the Administrative Assistant deals with visitors, clients, vendors, contractors, members, and property owners daily, they must be personable and pleasant. They must also be reliable, organized, muti-functional and self-motivated. The duties of this position are administrative in nature and may vary from day to day. Duties will include, but are not limited to, those listed below. Familiarity with real estate development or basic construction terms is preferred but not required. High school diploma required.RESPONSIBILITIES AND DUTIES
Represent River Landing in a professional and positive manner, maintaining a courteous and respectful demeanor with residents, property owners, members, guests, contractors, vendors, and colleagues at all times. Answer phones, greet guests. Become knowledgeable in the operations of River Landing and its employees in order to respond to and direct inquiries to the appropriate parties. Operate personal computer and be proficient in Microsoft Office Products and other software tools. Update and maintain databases and office files as directed, such as Customer Relationship Management (CRM), property owner files, and communication lists. Support the operations of the Property Owners Association, The Architectural Standards Committee, Community Development, the Custom Home Program, and real estate development. Schedule and coordinate meetings. Assist with the collection of materials and submittals for architectural review. Assist with the preparation of architectural review presentations. Assist with the documentation and record keeping of architectural review committee materials. Support communication and coordination between departments for scheduling and organizing community tours and special events. Assist with planning and execution of development activities and special events. Assist in welcoming real estate prospects, new property owners and members to the community. Assist property owners and members with various tasks, including document scanning, printing, and copying. Assist with printing, folding, and mailing of marketing materials. Assist with transition of paper files to electronic documents. Assist with mail and package deliveries. Perform other duties as defined by management.ADA REQUIREMENTS
