MISSION FUNCTION
As an essential member of the Philanthropy and Community Engagement team, you will use your strong interpersonal communication skills to engage daily with a diverse network of supporters and volunteers who make Second Harvest's mission possible. Your attention to detail and solid analytical abilities will help ensure excellence in coordinating, supporting, and stewarding both financial contributions and volunteer efforts—each critical to advancing our work of providing hope, health, and opportunity.WORK ENVIRONMENT
This is an onsite position. Regular, in-person attendance is required to effectively perform the duties of the role, including daily interaction with volunteers, staff, and donors.PRIMARY RESPONSIBILITIES
This role supports key organizational functions across donor relations, volunteer engagement, and administrative operations. Responsibilities are currently allocated as follows: • 40% -Administration & Donation Processing:
Provides administrative support, including accurate recording and tracking of donations, maintaining financial records, and supporting internal reporting processes.o Data entry to include:
§ Enter check and cash donations from ledgers § Create and update constituent records § Update donor demographics § Create and update donor notes and interactions § Build and update reports o Upload ledgers into NetSuite. o Process credit card and Bill Exchange donations. o Manage sensitive and confidential information and protect the security and privacy of donor information and files. o Train and supervise volunteers/temporary employees for Holiday Season. o Create and share department Google documents o Administrative duties such as handling and distributing the mail, filing, shredding and scanning. o Provides facility tours as needed. o Assists with special events as needed. • 35% -Donor Appreciation:
Primarily responsible for donor stewardship efforts, including handwritten thank-you letters and other personalized communications to acknowledge contributions and strengthen donor relationships. o Cultivate positive relationships with donors, volunteers, and guests by delivering clear, engaging, and timely communications through various channels, including email, personal handwritten notes, phone, social media, and in-person interactions. § Process and send Honor Cards § Acknowledgement letters § Annual statements § Manage birthday card mailings o Manage the Holiday Insert Program. o Manage an assigned portfolio of individual donors to cultivate and steward. • 25% -Volunteer Engagement:
Serves as one of the main points of contact for volunteers, including greeting, check-in, and orientation. Acts as the primary onsite lead for volunteer operations in the absence of the Lead Volunteer Coordinator , ensuring continuity and a positive volunteer experience. o Coordinate volunteer check-in for morning and afternoon shifts by greeting individuals and groups and escorting them to assigned work areas in an efficient and organized manner. o Oversee and optimize the volunteer registration platform by maintaining accurate records, performing regular updates, and generating reports to inform decision-making. § Add and edit opportunities § Add and edit shift details § Add yearly calendar § Collect emails for Constant Contact § Edit volunteer caps when needed § Every Friday (or the last day we are open in a week if we are closed) create and send the report of all individuals and groups scheduled to attend each opportunity, noting time changes. § Daily check for and share major deviations from weekly schedule prior to each shift if needed. o Manage administrative operations, ensuring efficiency, organization, and attention to detail across all tasks. o In collaboration with Volunteer Experience Manager and Executive Assistant, and Volunteer Experience Coordinator ensures snacks are fully stocked for Volunteers. o Assist with recruiting and events and community outreach. • This is a dynamic role , and responsibilities may evolve based on organizational needs, priorities, and growth. • Other duties as assigned.KNOWLEDGE AND SKILLS REQUIREMENTS
Associate's degree or the equivalent work experience required. Experience working in a Non-Profit and with a Donor Database is preferred. Demonstrated ability to manage multiple priorities under pressure while maintaining attention to detail and meeting deadlines in a fast-paced environment. Proficient mathematical skills, and ability to communicate professionally, both verbally and written. Ability to proofread documents accurately. Proficient in Microsoft Office, Word, Excel and Outlook. Exhibit excellent teamwork, interpersonal and relationship-building skills. Extensive use of telephone and computer. Ability to communicate effectively both verbally and in writing. Ability to complete high-volume, repetitive handwritten correspondence (e.g., donor letters and cards) with consistent legibility, accuracy, and attention to detail. Ability to perform fine motor tasks for extended periods, including sustained handwriting and data entry. Ability to maintain handwriting quality and productivity while meeting deadlines. Ability to perform repetitive hand, wrist, and finger movements associated with writing, typing, and administrative tasks. Ability to maintain visual focus and attention to detail when reviewing and processing information. Ability to lift up to 25 lbs. without assistance (e.g., event materials, supplies). Ability to sit or stand for extended periods of time. Ability to interact with and guide volunteers and guests in an active environment, including escorting individuals and groups to work areas. Ability to walk and talk simultaneously, sometimes backwards while navigating active workspaces safely, including warehouse and volunteer areas. Ability to provide reliable transportation to and from off-site events and maintain regular, in-person attendance at the primary work location.
