Public Health Solutions is a regional local public health department serving five counties in rural southeast Nebraska. JOB SUMMARY
Works under manager supervision and is primarily responsible for all activities of the front office. This includes coordinating office functions and program support to include: providing excellent customer service to clients and visitors, supply inventory/ordering, records keeping, assisting program staff and Health Director, supervising office staff, organizing meeting logistics, office & vehicle maintenance, office communication, and coordinates IT support.
PRIMARY JOB DUTIES
Contribute positively as a member of the PHS team. Responsible for all functions of the front office. Assure efficient organization and function of front office. Professional representation of Public Health Solutions to the public when greeting them on the phone and at the front desk. Responsible for front office coverage, public reception, and supervision of all front office support staff. Willing to be flexible to adjust hours, including possibly staying late, as needed for office coverage. Prioritize, supervise, and coordinate job assignments of office staff. Maintains calendar and scheduled appointments for various departments. Serve as Administrative Clinical Coordinator including scheduling client appointments and managing clinic flow. Manages all vehicle, facility, and IT maintenance. Serves as liaison to outside entities to ensure resolution of issues. Maintains department inventory. Coordinate logistics for meetings and office events. Prepare & file meeting agendas and minutes. Maintains/distributes ingoing and outgoing mail for the organization. Adheres to strict confidentiality regulations. Prepares routine reports and submit in a timely manner. Other duties as assigned. policies and procedures
KNOWLEDGE, SKILLS, AND ABILITIES
Team oriented work style and ability to work with minimal supervision. Ability to maintain confidentiality. Experience using Microsoft Office programs, especially Word and Outlook. Excellent customer service skills. Organized and efficient at time management and the ability to multi-task. Prioritizes punctuality and attendance. Ability to demonstrate cultural competence. General knowledge of standard office equipment including printer, fax, multi-line telephone system, computers.
REQUIREMENTS
EDUCATION:
A high school diploma or GED is required. An Associate degree or Bachelor's degree in business or office management preferred but not required.
EXPERIENCE
Office Management and experience using Microsoft Office programs especially Word and Outlook required.
OTHER:
A valid driver's license and auto insurance coverage is required and must be able to safely operate a vehicle. While performing the duty of this job, the employee is frequently required to sit, use hands, talk, and hear. This position is 100% on-site and does not include remote or hybrid work. May occasionally lift and/or move up to 40 pounds. Experience in medical billing helpful but not required for the job. Bilingual (English-Spanish) is preferred but not a requirement for the position.
COMPENSATION
Initial compensation will commensurate with education, experience, and qualifications for the job. Compensation may be adjusted based upon job performance.
