P01658 Qualifications Required Associate's Degree General Summary Provides administrative assistance and instructional support for the Associate Dean of Arts and Science and the Dean of Arts, Science and Business, and for full-time and part- time instructors and staff. Performs a variety of administrative, clerical, and receptionist duties, as well as data entry for various computerized applications, provides customer services, and maintains appropriate files and logs, as well as assisting with other tasks as assigned. Will perform duties and responsibilities in accordance with college policies and procedures. Performs other duties as assigned. Essential Functions Compiles and prepares class schedules and distributes to faculty and Associate Deans. Enters course selection information into College software program, verifies output for accuracy and makes necessary corrections. Prepares the final copy for printing of class information. Prepares and posts faculty learning center schedules. Essential Functions Provides word processing skills by composing and/or editing correspondence, memorandums, email and internal documents to include: personnel requisitions, personnel actions, purchase requisitions, leave requests, travel reimbursements, timesheets, online work orders and help desks, catalog copy and course change forms. Essential Functions Completes projects for Associate Dean of Arts and Science, the Dean of Arts, Science and Business, and faculty as requested. Update and remain aware of administrative schedules/shared calendars. Essential Functions Maintain databases, create spreadsheets, manage and track budget reports for the College software program for general ledger accounts and semester enrollments within assigned departments. Essential Functions Communicates with internal departments and external clients to receive and screen incoming calls, taking messages for administration and faculty as appropriate, and eliciting necessary information to allow timely and accurate responses. Essential Functions Communicates efficiently to coordinate job responsibilities with administration, faculty, and other numerous department including Human Resources, Purchasing, Accounts Payable, Payroll, and other internal departments as needed. Screens and distributes incoming email, responding where appropriate. Essential Functions Assists faculty and staff with problems/questions as it relates to College software programs, office procedures, and a variety of other computer software programs. Essential Functions Makes travel, meeting and conference arrangements, including hotel, registration and car reservations for the Associate Dean of Arts and Science, the Dean of Arts, Science and Business, instructors, and staff. Essential Functions Serves on campus and area-wide committees as it relates to job responsibilities, including assisting with decision making processes Essential Functions Schedules work flow procedures in anticipation of instructional/administrative needs. Essential Functions Develops and maintains filing system that permits easy reference and rapid retrieval of information. Essential Functions Records minutes and distributes agendas for various meetings. Assist with and organizes committee meetings and/or special events including advisory board meetings, i.e., arrange for catering, locations, distribution of information with respect to the event, and any handouts for the event. Essential Functions Provides supply orders for instructional staff and monitors supply inventory. Requests textbooks and supplemental materials for faculty. Essential Functions Maintains familiarity with the College's strategic plan and promotes the concept of quality customer service. Essential Functions Proctors exams for instructors using the Live Video System as requested. Works with proctors on the Grand Island Campus to ensure all requests from Live Video Instructors for proctoring services are covered. Follows proctor guidelines. Maintains confidentiality of student exams and the proctor exam files. At the end of the semester, shreds or mails back exams according to the instructor's direction. Works with faculty of web courses that require proctoring services by scanning exams to proctors as directed.
