Key Responsibilities Front Office & Communications Live answer phones and provide first-point-of-contact service to clients and callers Monitor and respond to voicemails and emails in a timely manner, returning or reassigning as appropriate Process incoming mail, including entering insurance claims received via mail in our EHR, and routing checks to the appropriate staff member Log new appointment requests and route to the appropriate clinician when necessary Billing & Claims Submit insurance claims and enter insurance claims on a regular basis Resolve claim rejections and follow up on claim denials by calling insurance companies Review the Insurance Aging Report weekly to identify and follow up on unresolved claims, with a goal of nothing outstanding past 60 days Administrative & Office Management Monitor and replenish office supplies, staff snacks, and beverages as needed Maintain organized records and perform routine document shredding Coordinate facilities vendors, serving as the primary point of contact for lawn care, sprinklers, pest control, handyman services, camera systems, and the coffee bar Support scheduling for the group therapy room Monitor the communal areas of the office for cleanliness throughout the week Social Media & Marketing Collaborate with leadership to create social media content that reflects our practice's values of inclusivity, affirmation, and social justice Create and publish regular social media posts that authentically represent who we are and the communities we serve Proficiency in Canva or similar design tools is a plus Credentialing Credential new hires with insurance panels Maintain and update clinician insurance demographics and CAQH profiles on a regular basis Follow up on ongoing credentialing tasks and renewals Staff Coordination & Events Schedule and arrange quarterly staff meetings, staff outings, and individual clinician meetings Coordinate book club scheduling and send reminders to staff for upcoming events Arrange catering/lunches for quarterly staff meetings Maintain a staff calendar tracking birthdays and anniversaries to coordinate gifts Assist with scheduling speaking events for the director Qualifications Alignment with Serenity Therapy & Wellness's values of trauma-informed care, anti-racism, LGBTQIA+ affirmation, and social justice Strong organizational and time management skills with the ability to prioritize competing tasks Excellent written and verbal communication skills, with the ability to engage warmly and respectfully with people of all backgrounds and identities Experience in a mental health, behavioral health, or similar office setting preferred Familiarity with insurance billing, ERA processing, and claims management a plus Proficiency in Canva or similar design tools a plus Comfortable serving as a liaison for external vendors and service providers Positive, team-oriented attitude with a genuine passion for supporting a wellness-focused, justice-oriented workplace Serenity Therapy & Wellness is an equal opportunity employer.
