Job Description

HAINES CLIMATE CONTROL
is hiring an Office Assistant in Omaha, NE for an immediate opening. As a licensed, family-owned HVAC company, we've proudly served Omaha and the surrounding communities for years by providing dependable heating and cooling services with a focus on customer care. In this role, you'll be one of the first points of contact for our customers to interact with, helping create a positive and professional experience from the very first call. You'll support day-to-day office operations by handling administrative tasks, and helping keep everything organized and running efficiently. We're looking for someone who is detail-oriented, dependable, and enjoys helping both customers and coworkers. Strong communication skills, a positive attitude, and a customer-first mindset are key to succeeding in this position.
Responsibilities:
Answer incoming phone calls and provide friendly, professional customer service Schedule service calls, maintenance appointments, and installations Enter and update customer and job information in spreadsheets and office systems Coordinate with technicians and office staff to help maintain an efficient daily schedule Follow up on past due invoices and assist with basic accounts receivable tasks Maintain accurate records and organized filing systems Assist with preparing estimates, invoices, and other office documents as needed Support day-to-day office operations and help team members with administrative tasks
Qualifications and Skills:
Proven experience in office administration, customer service, or receptionist experience preferred Excellent communication skills, both over the phone and through email Ability to manage multiple tasks efficiently while maintaining a positive attitude Excellent organizational skills and attention to detail Professional, dependable, and customer-focused attitude Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Ability to work independently while also supporting a team environment Reliable transportation and consistent attendance required Benefits Health Benefits (BCBS Insurance) Dental & Vision 401(k) retirement plan with employer matching contributions.
