The Administrative Support Specialist is responsible for all general administrative functions and activities of the office. This role supports employees through a variety of tasks and ensures efficient operations of the office. This person is proactive and willing to take the initiative to complete unanticipated or ad hoc tasks, as this role is highly dynamic and requires a high level of adaptability to meet the changing needs of the organization.
Job Duties and Responsibilities:
Leadership Support and Office Duties Provide administrative support to the Office Leadership Team, including calendar management, travel coordination, and meeting/event plannin Ensure smooth day-to-day office operations, including: Greeting visitors, answering phones and filing Managing office supplies, kitchen inventory, and vendor services Coordinating employee travel and internal events Supporting new hire onboarding and office space planning Managing and communicating production reports Generate reports, track timesheets, and provide billing and production updates Serve as a liaison for internal teams and properly route HR, payroll, benefits, and finance-related inquiries appropriately Manage vendor relations with various groups including property management, electrical, maintenance, telecom, IT, etc. Assist management in providing effective support for all employees, customers, and external contract employees. Help support our production and back-office team; Ensure projects and tasks are completed in an efficient and effective manner Manage special projects and coordinate project deliverables, as needed. Additional duties and responsibilities, as needed, based on the frequently changing needs and growth that occurs across the company. All other duties assigned.
Qualifications and Skills:
