Job Description

Work Schedule Report to Office, Monday through Friday, 10:00 a.m. - 2:00 p.m. Position Summary The Office Assistant provides front office and administrative support to ensure smooth daily operations. This role serves as the first point of contact for visitors and callers and supports internal staff through a variety of clerical and organizational duties. Key Responsibilities Answer and manage a multi-line telephone system, directing calls appropriately and providing accurate information when needed. Greet visitors in a professional and courteous manner; determine the nature of their visit and direct or escort them to the appropriate destination. Prepare and transmit information and documents to customers via phone, email, mail, or fax. Perform general office duties, including filing, mailing, and maintaining office equipment such as printers, copiers, and fax machines. Provide administrative support such as proofreading documents, transcribing handwritten information, and assisting with other clerical tasks as needed. Maintain the appearance of the lobby and reception area, including light upkeep such as watering plants and organizing magazines. Analyze information to respond to routine inquiries from customers or members of the public. Enter, update, and maintain databases containing contact information, including names, addresses, and phone numbers. Support ad hoc projects and additional tasks as assigned by management. Job Requirements Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and Teams. Working knowledge of Microsoft Windows operating systems. Strong written and verbal communication skills with a professional, friendly demeanor. High level of accuracy and attention to detail.
