Job Description

Job Summary We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support administrative functions, enhance customer service, and foster a welcoming environment for clients, visitors, and staff alike. Duties Greet visitors and manage front desk responsibilities with professionalism and warmth Answer multi-line phone systems promptly, directing calls accurately and courteously Perform data entry, filing, and document proofreading to maintain accurate records. Utilize Microsoft Office Suite and Google Workspace for correspondence and reports. Support office management activities including answering phones, checking email, invoicing, and processing credit cards. Basic office paperwork, creating folder for new customers, filling out contracts etc Provide customer support via phone or email, ensuring excellent service and timely responses Handle clerical tasks such as photocopying, faxing, and mailing documents efficiently Assist with bookkeeping duties using QuickBooks or similar accounting software when needed.
QUICKBOOKS EXPERIENCE A PLUS!
Maintain a clean, organized front desk area to promote a professional environment Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools Excellent computer literacy with the ability to learn new software quickly Strong typing skills and attention to detail for proofreading and data entry tasks Experience managing multi-line phone systems with proper phone etiquette Previous experience as a receptionist, personal assistant, or medical/dental recepti is a plus Knowledge of office management procedures including filing systems Ability to handle confidential information discreetly with professionalism Exceptional customer service skills with a friendly demeanor and positive attitude
