Job Description

Job Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support various administrative functions, enhance customer interactions, and contribute to a positive work environment. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately Perform data entry tasks using Microsoft Office Suite and other office software to maintain accurate records Handle filing, document proofreading, and general clerical duties to support office operations Assist with calendar management, scheduling appointments, and coordinating meetings for staff and executives Provide exceptional customer service by addressing inquiries promptly and supporting client needs Support bookkeeping activities using QuickBooks or similar accounting software for basic financial record keeping Maintain office supplies inventory and organize files to ensure a tidy, functional workspace Qualifications Proven experience in office management, clerical work, or administrative roles with a focus on customer service and support Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Experience with QuickBooks, AIA, Certified Payroll and COI's. Knowledge of multi-line phone systems, phone etiquette, and front desk procedures is essential Demonstrated ability to proofread documents accurately and maintain high attention to detail Strong time skills with the ability to handle multiple responsibilities efficiently Join us in creating a vibrant workplace where your administrative talents can shine!
