Job Description

Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of daily office operations, ensuring smooth communication, efficient management of administrative tasks, and exceptional support to our staff and visitors. Your energetic approach and attention to detail will help foster a productive and welcoming environment. This paid position offers an exciting opportunity to develop your skills in office management, customer service, and administrative support within a fast-paced setting. Duties Handle data entry, filing, and document proofreading with accuracy and efficiency Maintain organized office files, records, and correspondence using digital tools such as Google Workspace and Microsoft Office Support calendar management and scheduling for meetings, appointments, and events Provide excellent customer service by addressing inquiries via phone or email with courteous and effective communication Assist with bookkeeping tasks using QuickBooks or similar accounting software as needed Perform clerical duties such as typing reports, managing office supplies, and supporting general office management activities Requirements Proven experience in an office environment or administrative role with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Familiarity with multi-line phone systems, phone etiquette, and customer support best practices Experience with clerical tasks such as data entry, filing, proofreading, and calendar management Knowledge of office management procedures including bookkeeping (QuickBooks preferred), construction receptionist experience is a plus Excellent time management skills with the ability to prioritize tasks efficiently in a fast-paced setting Strong interpersonal skills to provide outstanding customer service and support to team members and visitors Personal assistant experience or medical/dental receptionist background is advantageous for understanding specialized workflows Join us in creating a vibrant office environment where your organizational talents shine!
