Job Description

Job Summary We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functions and providing exceptional support to staff and clients alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately Maintain organized filing systems, data entry records, and ensure proper document proofreading for accuracy Support office management tasks including calendar management, scheduling appointments, and coordinating meetings Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative functions Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Provide exceptional customer support by responding promptly to inquiries via phone or email and offering assistance as needed Qualifications Proven office experience with strong clerical skills including filing, data entry, and document proofreading Proficiency in Microsoft Office applications and Google Workspace tools for effective office productivity Experience with QuickBooks or other bookkeeping software is highly desirable Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Bilingual abilities are a plus, especially in languages commonly used within the community served Strong phone etiquette and customer service skills to foster positive interactions with clients and visitors Previous experience as a receptionist—dental or medical—is advantageous but not required; personal assistant experience is also valued Demonstrated time management skills with the ability to handle multiple responsibilities simultaneously Join us as an Administrative Assistant where your energy, organization, and dedication will make a meaningful impact every day!
