Overview We are seeking a dynamic and organized Front Desk Administrator to be the welcoming face of our office. The ideal candidate will be energetic, detail-oriented, and proficient in managing multiple responsibilities with professionalism and enthusiasm. We are searching for someone who can be a point-person for our office, streamlining communication between clinical directors, patients, and insurances, while managing vital daily tasks. The position we are looking to fill has high professional advancement potential for the right candidate. Responsibilities Greet patients warmly and professionally, ensuring they feel welcomed and attended to promptly. Manage multi-line phone system, handling calls efficiently and courteously while providing excellent support for patient inquiries. Handle all front desk duties including scheduling appointments, maintaining calendars, and coordinating meetings. Speaking with various insurance companies to verify a patient's insurance eligibility and physical therapy benefits to ensure billing accuracy. Obtain physical therapy authorizations from various insurance companies via phone calls, provider portals, and faxing. Utilize computer skills to update patient records, manage office supplies inventory, and perform general clerical tasks such as photocopying and faxing. Ensure specific documents get sent to and signed by referring physicians for insurance purposes. Ensure the office environment remains professional and organized by overseeing daily operations, including filing, mail distribution, and maintaining cleanliness. Skills Proven experience in office management or administrative roles with strong clerical skills. Excellent customer service abilities combined with professional phone etiquette across multi-line phone systems. Bilingual proficiency is highly desirable to assist diverse client needs effectively. Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace applications, and EMR systems. Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively. Experience in medical or dental receptionist roles is a plus, demonstrating familiarity with appointment scheduling and patient confidentiality. Attention to detail for proofreading documents and maintaining accurate records.
