Overview We are seeking a dynamic and highly organized Office Assistant to join our team! As an Office Assistant, you will be the friendly face of our office, ensuring smooth daily operations, providing top-notch administrative support, and delivering excellent customer service. Your proactive attitude and attention to detail will help create a welcoming and efficient office atmosphere that supports our team's success and enhances overall productivity. Responsibilities Greet visitors and clients with professionalism and warmth, managing front desk duties with a positive attitude Answer multi-line phone systems promptly, directing calls accurately and courteously Manage calendar scheduling and appointment setting for staff members, ensuring efficient time management Perform data entry, filing, and document proofreading to maintain accurate records and organized files Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial processes Coordinate office supplies procurement and inventory management to ensure smooth operations Support administrative tasks such as copying, scanning, mailing, and preparing correspondence Provide customer support by addressing inquiries via phone or email with excellent phone etiquette Maintain office cleanliness and organization to promote a professional environment Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools to complete daily tasks efficiently Skills Proven experience in office management or administrative support roles with strong clerical skills Excellent computer literacy including proficiency in Microsoft Office, Google Workspace, data entry, and general office software Strong organizational skills with the ability to multitask effectively in a busy environment Exceptional communication skills; bilingual abilities are a plus for serving diverse clients and team members Experience with multi-line phone systems and front desk operations required Knowledge of bookkeeping software such as QuickBooks is preferred Demonstrated ability to handle customer service interactions professionally with good phone etiquette Ability to manage time efficiently while prioritizing tasks in a fast-paced setting Attention to detail for proofreading documents and maintaining accurate records Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental reception roles is a bonus Join us as an Office Assistant and become an integral part of a vibrant team dedicated to excellence!
