Job Description

We are seeking a detail-oriented and proactive Facilities Administrator to join our operational team. This role is the financial "hub" for our facilities department, ensuring that rent, utilities, and vendor obligations for multiple branch locations are met with precision. You will manage complex invoicing workflows, coordinate with internal Treasury and Accounts Payable teams, and maintain the administrative systems that keep our physical locations running smoothly. $33 - $36 per hourshift: Firstwork hours: 8 AM - 5

BachelorsResponsibilities Manage rent payments for multiple branch locations, including reviewing invoices and statements, coordinating with AP/Treasury, resolving discrepancies, and ensuring timely processing. Process vendor and property‑related invoices across locations, creating purchase orders, validating amounts, and troubleshooting billing issues. Prepare monthly utility, sewer, and quarterly property tax payments; verify accuracy and resolve issues with service providers as needed. Handle recurring invoice workflows such as FedEx, food services, and departmental vendor payments, including cost‑center validation and spreadsheet reconciliation. Maintain electronic mailbox workflows, distribute incoming invoices and correspondence, and track required approvals for on‑time payment. Support credit card reimbursement processing, collect receipts, and enter transactions into internal systems. Order supplies and equipment for multiple departments and manage annual purchase orders and new vendor set-up in procurement systems. Participate in scheduled meetings with asset management and internal teams to review financial workflows and operational updates.
