Administrative Assistant (Full-Time, In-Person)
Location:
South Plainfield, NJ A busy, family-owned emergency apparatus company is seeking a highly organized, detail-oriented, and dependable Administrative Assistant to support our growing team and help ensure the efficient operation of our office. This is an excellent opportunity for an individual who thrives in a fast-paced, professional environment and enjoys handling a variety of administrative responsibilities. Qualifications Minimum of 5-7 years of office administrative experience required Please do not apply if you do not have prior office experience or cannot begin employment within two weeks of receiving a job offer Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Adobe Acrobat Experience with SAGE software preferred; willingness and ability to learn quickly required Associate degree or equivalent work experience preferred Excellent verbal and written communication skills Strong organizational skills and attention to detail Ability to manage multiple priorities and meet deadlines Must be dependable, punctual, and maintain exceptional attendance Must be fluent in English Logistics experience is preferred but not required Notary Public certification preferred, or willingness to obtain certification upon hire Responsibilities Daily duties include, but are not limited to: Provide administrative support to the sales team and management, including maintaining contracts, customer information, and related documentation Generate and distribute customer invoices accurately and in a timely manner Create and manage purchase orders Review Requests for Proposals (RFPs), prepare bid responses, and ensure all submission deadlines are met Scan, copy, organize, file, and electronically manage company documents Upload and download files as needed while maintaining accurate records Operate standard office equipment, including computers, photocopiers, scanners, and printers Prepare, complete, and process forms and other business documents Send, receive, and respond to emails professionally and promptly Assist with document management and physical file organization Support special projects and other administrative tasks as assigned Provide backup support for other office staff when necessary Ideal Candidate The successful candidate will be: A self-starter who can work independently with minimal supervision Highly organized and capable of handling multiple tasks simultaneously A collaborative team player with a positive attitude Flexible, adaptable, and open-minded Comfortable working in a computer-intensive environment Committed to accuracy and attention to detail Schedule Monday through Friday 8:00 AM - 4:00 PM Full-time, in-person position Exceptional attendance and punctuality are required Work Location This is an in-person position based in our office located in South Plainfield, New Jersey.
Pay:
$20.00 - $24.00 per hour Expected hours: 40.0 per week
