Administrative Assistant

Seeking a detail-oriented Bilingual Administrative Assistant (Japanese) to support daily office operations, customer service, sales coordination, and administrative tasks. Responsibilities include answering phones, preparing quotes and invoices, coordinating shipments, managing office supplies, arranging travel, supporting events/exhibitions, and maintaining Salesforce data. Below are the details of the role:

Location:

Teterboro, New Jersey Schedule:

Monday-Friday, 8:30 AM-5:30 PM (Onsite)

Salary:

$45,000/year + bonus + mileage reimbursement

Responsibilities:

• Managed front desk operations, answered calls, and coordinated customer and employee support.
• Organized meetings, seminars, customer visits, company events, and travel arrangements.
• Prepared quotes, issued invoices, maintained records, and updated Salesforce data.
• Coordinated shipping of machines, parts, and exhibition materials, including trade show support.
• Handled office administration tasks such as supply ordering, petty cash, expense processing, and vendor coordination.

Qualifications:

• Experience with Salesforce, Canva, Constant Contact, or MailChimp preferred
• Strong organizational and communication skills
