POSITION OVERVIEW
The Mercer County Prosecutor's Office is seeking qualified candidates for the position of Clerk 1 / Clerk 1 Bilingual (Spanish/English). This position provides administrative, clerical, and operational support within a fast-paced legal environment. Responsibilities include maintaining case files and records, preparing legal and discovery documents, coordinating office communications, supporting assistant prosecutors and investigative staff, and utilizing office database systems to manage information and workflow. The ideal candidate will possess strong organizational, communication, and multitasking skills while maintaining professionalism and confidentiality in all aspects of the role.
RESPONSIBILITIES
Perform receptionist and front desk coverage duties, including answering phones and distributing messages. Organize, audit, and maintain office files and file vault systems. Schedule meetings, reserve conference rooms, and prepare meeting materials and agendas. Assist with trial preparation, including preparing files, binders, and trial bins. Maintain case tracking information, statistics, and annual report support documentation. Enter, scan, redact, Bates stamp, and manage documents within the Infoshare database system. Coordinate with courts and judges regarding required signatures and documentation. Attend unit meetings, take notes, and assist with workflow documentation updates. Prepare letters, spreadsheets, flyers, reports, and other office-related materials. Assist with office supply inventory, ordering, and distribution. Provide support coverage for co-workers and assist with special office projects as assigned.
REQUIREMENTS
Graduation from an accredited high school or possession of a GED equivalent. Prior clerical, administrative, customer service, or office support experience preferred. Strong computer proficiency, including Microsoft Office applications such as Word, Excel, and Outlook. Ability to maintain confidentiality and handle sensitive information in a professional manner. Ability to work in a fast-paced office environment and manage multiple priorities. Appointees may be required to possess a valid New Jersey driver's license if the operation of a vehicle is necessary for the position. Bilingual applicants must be able to read, write, speak, and communicate effectively in both Spanish and English.
KNOWLEDGE, SKILLS, & ABILITIES
Excellent verbal, written and presentation skills. Ability to interact and maintain a good rapport with the co-workers, supervisors and vendors/clients Ability to prioritize and organize multiple projects, multitask, and proficiently manage time and resources. Strong proficiency in Microsoft Office Suite and the ability to use or quickly learn work-specific technologies. Flexibility and willingness to accept changes in priorities, as necessary.
