This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with precision and professionalism. Responsibilities Manage complex calendars, schedule appointments, meetings, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace. Provide executive administrative support including drafting correspondence, proofreading documents, transcribing audio files, and preparing reports with accuracy. Coordinate projects by tracking deadlines, organizing materials, and ensuring timely completion through effective communication with team members. Handle office management duties such as filing, data entry, maintaining office supplies, and overseeing front desk operations to ensure a welcoming environment. Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping functions such as invoicing, expense tracking, and reconciling accounts. Maintain professional phone etiquette when answering multi-line phone systems and directing calls appropriately while providing excellent customer service. Organize events by planning logistics, managing invitations, coordinating vendors, and overseeing event setup to ensure seamless execution. Support document signing processes using tools like DocuSign and manage confidential information with discretion. Experience Proven experience as a Personal Assistant or in an administrative support role with a strong background in office management. Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry systems. Experience with project coordination, event planning, bookkeeping (QuickBooks preferred), and clerical tasks such as filing and proofreading. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment while maintaining attention to detail. Strong communication skills including phone etiquette and customer service experience; ability to handle multi-line phone systems professionally. Familiarity with office equipment such as multi-line phones, fax machines, scanners, and office software tools like Microsoft Outlook Calendar and Google Workspace. Prior experience supporting executives or high-level professionals is highly desirable; personal assistant experience is a plus.
