This is an exceptional opportunity to work with a well-respected company on a variety of small and large commercial HVAC projects with potential for growth.
Responsibilities:
Provide administrative support by monitoring/answering high volume phone calls and emails efficiently and professionally. Assist Service Manager and Service Technicians with day-to-day operations. Receive customer requests for scheduled and unscheduled services. Help coordinate and dispatch Service Technicians. Ensure work has been performed to the customer's expectiations and follow up as needed. Provide excellent customer service and communication. Set up job files; request quotes from vendors, order equipment/parts and set up proposals.
Maintenance Contract administration:
Create, renewals, scheduling and invoicing. Follow up with customers for collections in a professional and timely manner. Organizing/filing proper information and paperwork pertaining to each customer and job. Learn our operation/accounting software in order to create and set up work orders, contracts, purchase orders, and invoices. Collect service tickets and timecards from Service Technicians to properly/timely invoice customers. Assist in project turnovers from initiation to completion.
Requirements:
Have proficiency in Word/Excel/Microsoft Office. Knowledge of any estimating software is a plus. Possess good communication skills with an outgoing personality and a positive attitude. Develop solid working relationships with customers, suppliers, and Service Technicians. Must maintain a quality level of responsiveness. Well organized, flexible, detail oriented and ability to multi-task. Ability to handle a fast-paced workload under deadlines. Excellent problem-solving abilities and attention to detail. Must be able to prioritize and manage time efficiently to meet submission deadlines. Able to be a self starter and work with minimal supervision. Bachelor's/Associate Degree or equivalent trade schooling is preferred.
