This vital role offers the opportunity to support daily office operations, enhance team productivity, and ensure a smooth workflow across departments. The ideal candidate will bring enthusiasm, excellent communication skills, and a proactive attitude to manage administrative tasks efficiently. Your expertise in office management, customer service, and technical skills will help create a welcoming environment and keep our operations running seamlessly. Responsibilities Create and manage spreadsheets with high level of attention to detail Maintain confidentiality and loyalty Handle all clerical duties including data entry, filing, proofreading, and maintaining accurate records using Microsoft Office, Google Workspace, and QuickBooks Manage calendar appointments, schedule meetings, and coordinate events to optimize time management for staff and executives Support customer service efforts by providing exceptional support via phone and email, addressing inquiries promptly and effectively Assist with office management tasks such as supply inventory, equipment maintenance, and organization of files and documents Perform bookkeeping duties including basic bookkeeping tasks with QuickBooks and tracking expenses or invoices as needed Provide personal assistant support when required, including travel arrangements or special project coordination Qualifications Proven experience in an administrative or clerical role with strong office management skills Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools Strong organizational skills with the ability to multitask efficiently in a fast-paced environment Exceptional phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to support diverse client needs Previous experience as a dental or medical receptionist is a plus but not required Demonstrated customer service expertise with a friendly and professional demeanor Knowledge of bookkeeping software such as QuickBooks is preferred Ability to prioritize tasks effectively while maintaining attention to detail and accuracy Join us to be part of a vibrant team that values your contributions!
