As an OAA, you will play a pivotal role in ensuring the smooth operation of our office, working independently while receiving guidance on more complex tasks. Your discretion and judgment will be crucial in coordinating various office management functions. On any given day, you may be called upon to: Manage calendars, emails, and meeting arrangements for managers Arrange teleconferences and videoconferences to enhance communication Organize celebrations, workshops, and team-building events Coordinate incoming and outgoing visitors, badge requests, DBIDS, and escort as needed Submit clearance for classified incoming and outgoing visits Own and manage conference rooms Own and manage 5369 vehicles Assist with hiring and onboarding processes Update WEBCARS for accurate accounts and reauthorization of accounts Coordinate domestic and international travel logistics Procure office resources and supplies efficiently Maintain filing systems and databases Serve as the property and training coordinator for the organization Process facility and move requests Maintain burn bins, universal battery bin and universal toner recycling Demonstrate knowledge of and adherence to organizational policies and procedures Provide training and support to other Administrative Professionals as needed Assist in hiring, onboarding, and training new Administrative Professionals Foster team collaboration across the Organization(s) Due to the nature of the work, the selected applicant must be able to work onsite fulltime. Alternate Qualifications We Require To be qualified, the applicant must have a high school diploma or equivalent, be proficient in Microsoft Office software, and have passed, based on Sandia specified grades, the Sandia Secretarial tests, and meet one of the following requirements: Four (4) years of recent secretarial-related experience, or An Associate's degree from an accredited college or university in Office Administration, Office Technology, Secretarial Sciences or related field and six (6) months secretarial-related experience. For internal candidates, three (3) years of recent relevant Sandia office experience, or a Bachelor's degree and one (1) year of recent relevant Sandia office experience.Required Testing:
Applicants must meet the minimum prerequisites to be scheduled for testing. Applicants should be prepared to test immediately after completing the application process. Upon successful test completion, the manager will be notified. Interviews will be scheduled for applicants who have successfully passed the test and have been identified as top candidates by the manager. Passing the test does not guarantee an interview or selection. About Our Team The Flight & Instrumentation Systems Department (5368) designs, builds, qualifies, and fields flight systems and components for both Nuclear Deterrence and Strategic Partnership programs. Examples of these applications include the development of satellite and other space-flight payloads and testing for high consequence military programs.The department specializes in:
- Embedded software development for flight systems
- Digital signal processing algorithm development including modeling and simulation
- Customized firmware development for Field-Programmable Gate Array (FPGA) and System-on-Chip (SoC)-based systems targeting high-reliability applications
- High-speed, high-bandwidth applications with extreme data rates (16+ Gbps)
- Flight qualification, production, and information assurance processes to ensure system security and reliability
- Electronic instrumentation development for flight systems.

Position Information This position performs Classified Administrative Specialist (CAS) duties and responsibilities. CAS training will be provided after clearance grant. As a condition of employment, this position is represented by the Office and Professional Employees International Union (OPEIU) and represented employees must pay the monthly membership dues or agency fee.
