This position provides administrative, clerical, and operational support to management, servicing staff, compliance personnel, and other departments as needed. The Administrative Assistant plays an important role in maintaining accurate records, coordinating communications, organizing documents, and supporting efficient workflow across the company. Responsibilities Answering phones, responding to emails, greeting visitors, scheduling meetings, maintaining calendars, preparing correspondence, and assisting with internal communications. This position will assist with organizing, scanning, uploading, filing, and maintaining loan servicing documents, borrower correspondence, vendor records, reports, and other company records in accordance with company policies and confidentiality requirements. The Administrative Assistant may support mortgage servicing activities by helping route borrower inquiries, preparing standard letters or notices, tracking documentation, updating internal logs, assisting with follow-up tasks, and coordinating information between servicing, escrow, insurance, loss mitigation, default, compliance, accounting, and management teams. This role will also assist with preparing reports, spreadsheets, meeting materials, audit support documentation, mailing projects, document requests, policy acknowledgments, vendor communications, and other administrative tasks as assigned. The Administrative Assistant is expected to handle sensitive borrower, employee, vendor, and company information with professionalism and confidentiality at all times. Essential Duties
- Provide administrative and clerical support to management and servicing departments.
- Answer and direct phone calls, emails, and other communications professionally.
- Maintain calendars, schedule meetings, and coordinate appointments.
- Prepare, format, proofread, scan, copy, file, and distribute documents.
- Maintain organized electronic and physical records.
- Assist with borrower correspondence, notices, and document tracking.
- Update spreadsheets, logs, task lists, and internal tracking reports.
- Support audit, compliance, quality control, and reporting requests.
- Assist with mail handling, including incoming and outgoing correspondence.
- Coordinate with vendors, business partners, and internal departments.
- Maintain office supplies and assist with general office organization.
- Support onboarding, training, policy distribution, and employee acknowledgments when needed.
- Follow company policies, procedures, privacy requirements, and applicable mortgage servicing standards.
- Perform other related duties as assigned. Requirements Qualifications
- High school diploma or equivalent required.
- Prior administrative, clerical, office, mortgage servicing, banking, finance, or real estate experience preferred.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Professional written and verbal communication skills.
- Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Dependable, professional, and able to work independently or as part of a team.
- Strong follow-up skills and ability to maintain accurate records.
PREFERRED QUALIFICATIONS
- Experience in mortgage servicing, loan administration, banking, finance, real estate, or consumer lending.
- Familiarity with loan servicing systems, document management platforms, or customer relationship management systems.
- Understanding of borrower confidentiality, privacy, and financial records handling.
- Experience assisting with compliance, audits, vendor management, or servicing operations.

PHYSICAL REQUIREMENTS
This position generally requires working in an office environment. The employee may be required to sit for extended periods, use a computer and office equipment, communicate by phone and email, and occasionally lift or move office files or supplies.WORK ENVIRONMENT
