Job Description

Position Summary:
The Front Office Coordinator is responsible for managing the day-to-day operations of the front office, ensuring smooth patient interactions, efficient appointment scheduling, and effective communication between patients and medical staff. This role plays a critical part in the smooth functioning of the practice, offering direct support to both patients and staff while maintaining a high standard of professionalism and organization.
Responsibilities and Duties:
Greet and welcome patients in a professional and friendly manner. Answer and direct calls on a multi-line phone system, providing excellent customer service. Verify patient information (e.g., insurance, demographics) and ensure system updates. Provide patients with necessary forms, consents, and instructions. Manage appointment scheduling and maintain an organized calendar to ensure optimal physician and patient flow. Accurately perform data entry and manage patient information in the EMR system. Assist with clerical duties, including filing, scanning, and maintaining office supplies, ensuring smooth office operations. Provide support to medical staff as needed, including front desk and receptionist duties. Ensure patient confidentiality and comply with privacy regulations when handling sensitive information. Uphold strict confidentiality of patient information and adhere to HIPAA and other privacy regulations. Collaborate with the Practice Manager to improve front office operations and staff efficiency. Maintain a tidy and organized front office environment, including the waiting area and workstations. Assist with the preparation of medical records, insurance verifications, and patient referrals. Assist in the training and orientation of new front office staff, ensuring they are familiar with office procedures and protocols. Provide ongoing training and support to existing staff, focusing on best practices for patient interaction, appointment scheduling, and EMR usage. Monitor front office performance and offer feedback, coaching, and mentorship to staff members to improve efficiency and customer service. Other duties as assigned.
Qualifications, Education and Experience Requirements:
Experience in a hospital or clinical setting preferred. Strong organizational, communication, and problem-solving skills. Ability to work in a fast-paced environment and to work on multiple projects at the same time. Proficiency in medical software and computer systems.
Salary:
$20.00 to $26.00 per hour
