Job Description

A 12-month high school secretary plays a central role in the daily operation of the school and provides year-round administrative support to students, staff, families, and school leadership. Typical responsibilities include but are not limited to: Administrative Support Provide administrative support to the principal and assistant principals. Answer phones, greet visitors, and respond to inquiries professionally. Manage correspondence, emails, and official school communications. Prepare reports, letters, agendas, and meeting minutes. Office Management Maintain office supplies and order materials as needed. Schedule appointments, meetings, and conference rooms. Operate office equipment and troubleshoot routine issues. Organize and maintain filing systems (electronic and paper). Receive and distribute mail and deliveries. Communication Serve as a point of contact for parents, community members, and visitors. Communicate school policies, procedures, and event information. Coordinate communications regarding emergencies, school closings, and special events. Assist with newsletters, website updates, and social media postings as assigned. Financial Responsibilities Process purchase orders and requisitions. Track budgets and expenditures as assigned. Prepare deposits and maintain financial records in accordance with district procedures. Staff Support Support faculty meetings and professional development logistics. School Operations Coordinate graduation, awards ceremonies, and other school events. Qualifications Required Must have a high school diploma or equivalent. 2 years college, with specialization in Secretarial/Business Administration or equivalent clerical experience. Must be Civil Service approved. (see note below regarding Civil Service) Must receive State and Federal clearance based on fingerprint supported criminal history background check. Details are available from the District Office. Ability to maintain confidentiality. Proficiency with Microsoft Office, student information systems, and office technology. Ability to prioritize multiple tasks in a fast-paced environment. Strong interpersonal skills and the ability to work effectively with students, families, staff, and community members.
Civil Service Note:
This title is part of the
NY HELPS
Program. For the duration of the program, this position may be filled through a non-competitive appointment, meaning no civil service examination is currently required. All candidates must still meet the established minimum qualifications for the title. After completing six (6) months of satisfactory service, the incumbent may be eligible for permanent competitive appointment through a Qualified Incumbent Examination (QIE) pursuant to Wyoming County Civil Service Rule XII §6(b), or upon conclusion of the
NY HELPS
Program.
