Job Description

About Us The Stay Young Center is a results-focused weight loss and targeted fat-loss center. Our East Aurora office is our leadership hub, supporting our clinics and ensuring everything runs smoothly behind the scenes. Position Overview We are looking for a detail-oriented Office Secretary to support our leadership team with bookkeeping data entry, general office tasks, and customer service text message management. This role is ideal for someone who is highly organized, comfortable with numbers, and confident using computers and software programs. Key Responsibilities Enter financial data into QuickBooks accurately and promptly. Assist with basic bookkeeping-related tasks and reconciliations as directed. Process, file, and organize paperwork (digital and physical). Organize and distribute mail and packages. Order and manage office supplies. Maintain organized digital and physical filing systems. Monitor and respond to customer text messages in a professional, friendly manner using our systems and scripts. Route or escalate customer questions and requests to the appropriate team members. Support leadership with various administrative and processing tasks as needed. Requirements Strong overall computer skills. Proficiency with word processing (e.g., Microsoft Word or Google Docs). Proficiency with spreadsheets (e.g., Microsoft Excel or Google Sheets). Working knowledge of QuickBooks (data entry and basic navigation). Comfortable managing customer communication via text messaging platforms. Strong attention to detail and accuracy. Reliable, professional, and able to maintain confidentiality. Willingness to take on a variety of office and processing tasks as needs arise. Hours & Pay Part-time to full-time, depending on qualifications and mutual fit. $20 per hour.
