Job Description

Job Summary We are seeking a highly organized and detail-oriented Office Assistant to join our team. The ideal candidate will possess strong administrative skills and be proficient in various office management tasks. This role is essential for ensuring smooth day-to-day operations and providing exceptional support to both staff and clients. The Office Assistant will manage front desk duties, handle multi-line phone systems, and assist with various clerical tasks. Duties Greet visitors and manage front desk operations, ensuring a welcoming environment. Answer, screen, and direct incoming calls using multi-line phone systems with excellent phone etiquette. Perform data entry tasks, including maintaining accurate records and filing documents. Assist with calendar management, scheduling appointments, and coordinating meetings. Provide customer support by addressing inquiries and resolving issues promptly. Utilize QuickBooks for bookkeeping tasks as needed, ensuring financial records are up to date. Maintain office organization through effective filing systems and document management. Utilize Microsoft Office and Google Workspace for creating documents, spreadsheets, and presentations. Proofread documents to ensure accuracy and professionalism in all communications. Support administrative functions such as typing correspondence, managing supplies, and assisting with projects as required. Requirements Previous office experience or clerical experience is preferred. Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace. Familiarity with QuickBooks is a plus but not mandatory. Excellent organizational skills with the ability to manage multiple tasks efficiently. Strong time management skills to prioritize tasks effectively in a fast-paced environment. Bilingual candidates are encouraged to apply for enhanced communication capabilities. Experience in customer service or customer support roles is highly desirable. Ability to maintain confidentiality and handle sensitive information appropriately. Personal assistant experience or familiarity with dental or medical receptionist duties is beneficial but not required.
