Job Description

Since 1893, Helen Keller Services (HKS) has been committed to improving the lives of individuals who are blind, visually impaired, or have combined hearing and vision loss. HKS serves in the New York City/Long Island area from its new headquarters in dynamic downtown Brooklyn and the Helen Keller National Center for Deaf-Blind Youth and Adults of Sands Point, New York, which has a network of regional offices that extends HKS' reach across the United States. Helen Keller Services for the Blind is thrilled to announce we will be expanding our Children's Learning Center to two brand-new Long Island locations in Nassau and Suffolk County! These state-of-the-art facilities will serve preschool children who are blind or have low vision, as well as multiple disabilities, autism, Down syndrome, or pervasive developmental delays. This expansion reflects HKSBs commitment to ensuring that Long Island families have access to the same high-quality early education and support services that have transformed lives in Brooklyn. The Senior Billing and Administrative Coordinator is responsible for the execution of HKSs Mission, goals and objectives through the performance of the duties of a Senior Billing & Administrative Coordinator. This includes providing administrative support to the entire Childrens Learning Center (CLC) staff and serving as the central receiver of administrative data from one or multiple

sites. The Senior Billing & Administrative Coordinator is responsible for organizing, reviewing, and entering data into the appropriate billing and clerical systems/portals for each site, ensuring all submissions are accurate, complete, and timely to support billing, compliance, and program operations. This role ensures that all CLC files are complete, up to date, and audit-ready, and assists administration in maintaining regulatory compliance
ESSENTIAL DUTIES AND RESPONSIBILITIES
Plan and conduct Childrens Learning Center administrative functionsServe as the central receiver of administrative data from one or multiple

sitesOrganize, review, and enter data into site-specific billing systems and portals, ensuring accuracy, completeness, and timelinessCoordinate with site-based staff to obtain required documentation and resolve discrepancies related to billing and reportingEnsure that all student and staff files are orderly and audit-readyCreate and maintain files for incoming students and new staffAssist Human Resources (HR) and CLC Administration with onboarding to ensure staff files meet all regulatory requirements based on program locationDemonstrate excellent attention to detail; follow up promptly and thoroughly; review all work for accuracyManage multiple priorities using strong organizational and time management skillsUtilize MS Office Suite and other relevant platforms, and learn new systems as neededRepresent the Childrens Learning Center professionally in person and on the phone, including greeting students and familiesAssist with outreach calls to families to support student attendance and engagementAssist the Administrative Team with transportation coordination, including communication with vendors, families, and program staff Responsible for other duties as may be assigned or requested by his/her immediate supervisor and/or the CLC Principal.
