Job Description

Job Summary We are seeking a dynamic and highly organized Office Assistant to join our team! In this vital role, you will be the friendly face and efficient support system that keeps our office running smoothly. Your energy and attention to detail will ensure seamless daily operations, excellent customer service, and effective administrative support. The job position entails working Tuesday to Friday from 9am to 5pm, and Saturday from 9am to 4pm. The store is closed Sundays and Mondays. It also includes paid holidays, sick days and vacation days . Responsibilities Greet customers with professionalism and warmth, managing multi-line phone systems with excellent phone etiquette. Directing customers in occasionally assisting the salesman with scheduling appointments for estimates, floor cleanings or installations. Handle incoming calls and emails, ensuring prompt communication with clients, salesmen and vendors, and provide exceptional customer support with a friendly attitude. Perform data entry and update records efficiently. Assist with assigning labor and processing weekly payroll for subcontractors using multiple software to support office financial processes. Support office management activities such as adjusting lists in showroom to reflect increased pricing accuracy, organizing files for easy access, and billing out customers upon completion of jobs. Place orders for flooring products (carpet, hardwood, vinyl, etc.) and submit claims regarding damages or defects to the material, streamlining order fulfillment. Maintain weekly inventory of supplies as well as warehouse/showroom stock, inventory tags, and receive inventory as it arrives from manufacturers for customer installation. There may be times where an installer is missing or needs extra of something on a job, and if there is no warehouse guy present, you may need to help deliver product. Requirements Proven experience in an office environment with clerical or administrative responsibilities. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and data entry skills. Excellent organizational skills with the ability to multitask effectively and prioritize tasks efficiently. Knowledge of office management practices including filing systems, calendar management, and time management techniques. Exceptional customer service skills coupled with professional phone etiquette and clear communication abilities. Ability to work independently while collaborating effectively within a team environment.
