Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. In this vital role, you will serve as the first point of contact for visitors and callers, manage administrative tasks, and support office management activities. Your energy, attention to detail, and excellent communication skills will contribute to a productive and welcoming office environment. Responsibilities Greet visitors and clients at the front desk with a friendly, professional demeanor, ensuring a positive first impression. Operate multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette. Manage appointment scheduling and calendar coordination for staff members Perform data entry, filing, and document proofreading to maintain accurate records and organized files. Support office management tasks including supply inventory, ordering materials, and maintaining cleanliness of common areas. Assist with bookkeeping activities using accounting software Provide exceptional customer service by addressing inquiries, supporting client needs, and ensuring smooth communication across departments. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment. Excellent typing speed and accuracy for data entry and document preparation. Experience with front desk operations, office management, or clerical duties is preferred. Knowledge of multi-line phone systems, phone etiquette, and customer support best practices. Strong computer literacy and office experience combined with excellent time management skills.
