Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems to handle incoming calls efficiently and courteously Perform data entry, filing, and document proofreading to maintain accurate records and ensure document quality Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document creation Coordinate calendar management and appointment scheduling for staff and executives Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping Support office management activities such as supply inventory, organization of files, and general clerical duties Provide excellent customer support by addressing inquiries promptly and professionally in person or via phone/email Qualifications Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office Suite, Google Workspace, and basic computer literacy Experience with QuickBooks or other bookkeeping software is preferred Excellent phone etiquette with the ability to manage multi-line phone systems effectively Bilingual skills are a plus to assist diverse clientele and team members Strong typing skills with attention to detail for data entry and proofreading tasks Previous experience as a medical receptionist, dental receptionist, or personal assistant is advantageous Demonstrated ability to prioritize tasks efficiently using time management skills Knowledge of office management procedures, filing systems, and customer service best practices Join us to be part of a vibrant team where your organizational talents will shine!
