Job Description

Join our dynamic team as an Office Assistant and become the backbone of our administrative operations! As an Office Assistant, you will play a vital part in ensuring our office runs smoothly, efficiently, and professionally. Your positive attitude and organizational skills will help create a welcoming atmosphere for staff, clients, and visitors alike. Operate multi-line phone systems, handle incoming calls, and direct inquiries effectively Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools Assist with data entry, proofreading documents, and manage schedules for staff Support office management tasks such as supply inventory, order processing, and basic bookkeeping using Yardi program a plus Provide excellent customer service by responding promptly to inquiries via phone or email Perform clerical duties including filing, photocopying, faxing, and preparing correspondence Manage appointment scheduling and calendar coordination for team members. Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with Yardi Breeze for basic bookkeeping tasks Excellent phone etiquette with experience handling multi-line phone systems Bilingual abilities are highly desirable to assist diverse client needs Strong typing skills with high accuracy; ability to perform data entry efficiently Previous experience in customer service or administrative support roles preferred Knowledge of office management procedures, filing systems, and clerical best practices Ability to multitask effectively while maintaining professionalism under pressure Personal assistant or medical/dental receptionist experience is a plus but not required Join us to be part of a vibrant workplace where your organizational talents make a real difference!
