Job Description

  • Manage all project documentation (RFI, Submittals)
  • Manage and assist with financial documentation (Purchase Orders, Change Orders and Requisitions)
  • Compile, issue and track subcontracts and purchase orders
  • Assist in the coordination of subcontractors and various suppliers / trades with your PM and field team
  • Effectively communicate project status and progress with team and management
  • Prepare written correspondence to subcontractors and suppliers as necessary to ensure project success.
  • Work with and assist support staff in distributing all project data and documents to the project team.
  • Utilize computer system to accurately manage and track milestones and documentation of each project.
  • Follow-up with subcontractors to ensure timely submission of proposals.
  • Follow up on proposal requests.
  • Create project schedule.
  • Maintain office set of current project drawings and specifications.
  • Coordinate shop drawing submission and review process.
  • Attend project meetings and take meeting minutes to present to all attending and non-attending parties.
  • Maintain Request for Information, Additional Work Authorizations, submittals, contract drawings and contacts for project team.
  • Gather closeout material and binders for submission to clients. Aggressively resolve all open issues.
  • Prepare kick off packages.
  • Schedule and aggressively follow up on all punch-list items.
  • Generate initial submittal log in system.
