Job Overview We are seeking a dynamic and detail-oriented Office Administrative Assistant to join our team. In this vital role, you will be the friendly face of our office, managing daily administrative tasks with energy and precision. Your organizational skills and customer service expertise will ensure smooth office operations, support our team, and enhance client interactions. Responsibilities Greet visitors and manage front desk operations with professionalism and enthusiasm Answer multi-line phone systems promptly and courteously, directing calls efficiently Perform data entry, filing, and maintain accurate records Manage calendar scheduling and coordinate appointments for staff and clients Handle clerical tasks such asorganizing files, and supporting bookkeeping activities Provide exceptional customer support by addressing inquiries via phone or email with positive attitude and clear communication Assist with office management duties including supply inventory, mail distribution, and general organization Requirements Proven office experience with strong organizational skills and attention to detail Proficiency in Microsoft Office Suite (Word, Excel, Outlook) Excellent phone etiquette with experience managing multi-line phone systems Bilingual abilities are highly preferred to serve diverse clients effectively Strong clerical skills including data entry, proofreading, filing, and calendar management Familiarity with QuickBooks or basic bookkeeping is a plus Previous experience as a receptionist or personal assistant is advantageous Ability to multitask efficiently in a fast-paced environment while maintaining professionalism and positive attitude Join us to be part of a dedicated team that values energy, professionalism, and excellence in every task!
