Full-Time Job Summary:
We are seeking a detail-oriented and experienced Administrative Assistant to join our team. The ideal candidate must have a comprehensive understanding of QuickBooks Desktop (full version) and strong organizational skills to handle various administrative tasks efficiently.
Key Responsibilities:
QuickBooks Management:
Handle all aspects of QuickBooks Desktop, including accounts payable/receivable, bank reconciliations, payroll processing, and generating financial reports. •
Financial Recordkeeping:
Maintain accurate and up-to-date financial records, ensuring compliance with company policies and regulations. •
Administrative Support:
Provide administrative assistance to the management team, including scheduling, correspondence, and document management. •
Data Entry:
Accurately input and update financial and administrative data in QuickBooks and other relevant software systems. •
Customer Invoicing:
Prepare and send invoices to customers, track payments, and follow up on overdue accounts. • Change order billing: Compile and process information to bill customer change orders, ensuring all details are properly documented and accounted for. •
Communication:
Serve as a point of contact for internal and external communications, handling inquiries professionally and promptly. •
Office Coordination:
Assist in coordinating office activities, managing supplies, and maintaining a clean and organized work environment. •
Special Projects:
Assist with special projects as needed, providing administrative support to various departments.
Qualifications:
• Proficiency in
QuickBooks Desktop:
Must have in-depth knowledge and experience using the full version of QuickBooks Desktop (not QuickBooks Online). •
Educational Background:
A high school diploma or equivalent is required; an associate's or bachelor's degree in business administration, accounting, or a related field is preferred. •
Experience:
A minimum of 2-3 years of administrative experience, with a strong background in financial management using QuickBooks. •
Organizational Skills:
Excellent organizational and multitasking abilities, with strong attention to detail. •
Communication Skills:
Effective written and verbal communication skills. •
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications. •
Problem-Solving:
Strong problem-solving skills and the ability to work independently. How to
