Job Summary We are seeking a dynamic and highly organized Office Administrator / Administrative Assistant to join our team. This vital role ensures the smooth and efficient operation of our office environment by providing exceptional administrative support, managing daily office functions, and delivering excellent customer service. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to handle a variety of clerical and organizational tasks with enthusiasm and professionalism. Duties Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems, answer inquiries, and route calls efficiently using clear communication skills Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks accurately using Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping and record-keeping Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail Assist with office management duties such as ordering supplies, maintaining inventory, and overseeing general cleanliness Provide customer support through courteous interactions via phone, email, or in person; handle inquiries promptly and professionally Conduct proofreading of documents to ensure accuracy and clarity before distribution Support personal assistant tasks including travel arrangements or special project coordination as needed Requirements Proven experience in an office environment with clerical or administrative responsibilities Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Exceptional phone etiquette skills with experience managing multi-line phone systems Bilingual abilities are highly desirable to serve diverse client needs effectively Demonstrated data entry accuracy along with proofreading skills to ensure error-free documentation Knowledge of office management practices including filing systems and supply ordering Ability to handle confidential information discreetly and professionally Personal assistant experience or calendar management skills are a plus Strong time management skills with the ability to multitask efficiently in a busy environment Join us in creating a vibrant office atmosphere where your organizational talents shine!
