Job Description

Overview We are seeking a highly organized, detail‑oriented Administrative Assistant to support a busy Financial Advisor in a fast‑paced, client‑focused environment. This role is ideal for someone who thrives on structure, enjoys helping clients, and can manage multiple priorities with professionalism and accuracy. Responsibilities Client Service Support — Serve as the first point of contact for clients; handle calls, emails, scheduling, and follow‑ups. Administrative Operations — Manage calendars, prepare meeting materials, maintain organized digital and physical files. Account Processing — Assist with new account paperwork, transfers, beneficiary updates, and service requests. Compliance & Documentation — Ensure all forms are complete, accurate, and compliant with industry regulations. CRM Management — Update client records, track tasks, and maintain follow‑up workflows. Meeting Preparation — Create review packets, portfolio summaries, and planning documents. Office Coordination — Maintain office supplies, manage mail, coordinate vendor services, and support daily office operations. Qualifications Prior experience in financial services , insurance , or professional office administration preferred. Strong attention to detail and ability to manage confidential information. Excellent communication skills — both written and verbal. Proficiency with Microsoft Office (Outlook, Word, Excel). Ability to work independently and anticipate needs. Professional, polished, and client‑service oriented. Preferred (Not Required) Experience with financial planning software or CRM systems. Knowledge of investment or insurance terminology.
