Position Purpose The Coordinator for Mission and Belonging & Head Sacristan plays an important part in the mission, ministry, and liturgical life of the University and its community partners. The role provides administrative support to the Chief Mission Officer and Center for Mission and Belonging, coordinates departmental programs and religious services, trains and supervises student sacristans, and assists with major university events. This position requires exceptional hospitality, customer service, organization, and attention to detail. Regular office hours are expected, with regular support for Sunday evening Mass and occasional evening or weekend events.
Key Responsibilities:
Supports the mission, ministry, and liturgical life of the University. Provides administrative support to the Chief Mission Officer and the Center for Mission & Belonging. Coordinates logistics for programs and events. Serves as sacristan for all religious services. Trains and supervises student sacristans. Works in a spirit of exceptional hospitality, inclusivity, and organization with attention to detail.
Job Duties:
Administrative Support for Chief Mission Officer Provide administrative support including, but not limited to, managing budgets, payments, purchases, contracts, and rentals. Manages logistics (e.g. communications, reservations, nametags, program materials, parking, catering, etc.) for onboarding, orientations, sponsorship-related meetings, and other programs Schedule and manage logistics before, during, and after religious services, chapel rentals, and other campus visits/rentals. Maintain canonical and civil documentation for sacramental celebrations, including filing records with the parish of record. Researches and responds to historical wedding record inquiries. Update event calendars, announcements, and digital signage. Manage calendars as needed. Coordination of Masses and Religious Services Serve as sacristan and oversee logistics for university and community-partner Masses (including Sunday evening Mass), weddings, funerals, rehearsals, anniversaries, prayer services, and other liturgical events. Recruit, coach, train, schedule, and supervise student sacristans ensuring their success; serve as on-call sacristan when students are unavailable. Assist clergy and liturgical ministers before services to ensure readiness. Serve as primary scheduler for Mater Dei and Interfaith Chapel events. Schedule and publicize Masses, sacraments, devotions, and prayer services. Schedule readers, Eucharistic ministers, priests, musicians, and technicians for sound and livestreaming as needed. Provide tours of the historic Mater Dei Chapel as needed. Maintain a calm, reliable presence before, during, and after liturgies. Care of Vessels, Vestments, and Chapel Keep sacristy, sanctuary, and work areas clean, orderly, and prayerful. Order and maintain inventory of hosts, wine, candles, and other liturgical supplies. Manage laundering, dry cleaning, and care of vestments and altar linens. Clean and care for sacred vessels, the tabernacle, and all items used for worship. Submit and track chapel maintenance requests. Mission and Belonging Team Collaboration Support university-wide celebrations and events, including, but not limited to, Baccalaureate Mass, Commencement, New Student Orientation, Welcome Week, New Faculty and Staff Orientation, Homecoming Mass, and Holy Day Masses. Participate in Mission and Belonging team meetings and campus-wide meetings. Contribute to team initiatives by welcoming new and different work requirements, exploring new opportunities to enhance the services of the Center, and helping others accomplish related job tasks as needed. Qualifications Catholic religious affiliation required.
Education:
High School Diploma or GED.
Experience:
Up to three months of related experience.
Specialized Training:
Proficiency with Microsoft Office; strong hospitality, communication, and organizational skills.
Work Complexity:
Work that is semi-routine or diversified requiring some judgement in the application of a wide range of established rules and procedures but within limits of standard practices.
Contacts:
Internal or external contacts which require tact to avoid confusion or to obtain cooperation in addition to furnishing or obtaining information. The employee assumes the responsibility for harmonious relationship.
Discretionary Responsibilities:
Decisions which are normally routine in nature and following established rules and procedures which concern the achievement of group objectives within an office and which affect only a very limited area of operations of the University. Responsibility for

Works under general supervision where standard practice enables the employee to proceed independently on routine work referring questionable cases to supervisor.
