Position Summary The Administrative Assistant for the Safety Department provides comprehensive administrative and clerical support to ensure the efficient operation of the company's safety programs and compliance initiatives. This position works closely with the Safety Director, Safety Managers, field personnel, and project teams to maintain records, coordinate training, support regulatory compliance efforts, and assist in promoting a strong safety culture throughout the organization. Key Responsibilities Provide administrative support to the Safety Department and Safety Management Team. Maintain employee safety training records, certifications, and qualification databases. Schedule and coordinate safety meetings, orientations, training sessions, and certification courses. Prepare and distribute safety communications, reports, meeting minutes, and department correspondence. Assist with onboarding and safety orientation documentation for new hires. Track and maintain OSHA logs, incident reports, workers' compensation documentation, and other safety-related records. Organize and maintain electronic and physical filing systems for compliance and audit purposes. Enter, update, and verify safety data within company software systems and databases. Assist with the preparation and submission of regulatory and client-required safety documentation. Coordinate the distribution and inventory tracking of safety manuals, forms, and department supplies. Support accident and incident investigations by gathering documentation and maintaining records. Generate reports related to safety performance metrics, training compliance, and department activities. Answer department phone calls, respond to inquiries, and route communications appropriately. Assist with special projects and other administrative duties as assigned. Essential Skills & Experience High school diploma or GED required. Associate degree in Business Administration or a related field preferred. Minimum of 2 years of administrative support experience; construction, mechanical contracting, or safety-related experience preferred.. Familiarity with OSHA regulations, safety training documentation, and construction industry practices is preferred. Experience with safety management software and document management systems is a plus.
