Highland Humane Society is seeking a reliable, organized, and self-motivated Part-Time Administrative Assistant to provide direct support to the Executive Director. This position plays a critical role in helping the organization operate efficiently and ensuring animals receive the assistance they need.
This is primarily a computer-based office position. The majority of the workday will be spent sitting and working with technology, managing communications, maintaining records, and assisting with administrative tasks. While this position does not involve handling or caring for animals, the work directly impacts animal welfare by helping animals find homes, receive needed services, and access available programs. Days/Hours 4-5 days a week Monday through Friday only Shift will be between the hours of 10-4 pm each day Some flexibility possible with hours/days Wage & Payment $12/hour to start Performance-Based raise after 90 days Responsibilities Provide administrative support to the Executive Director. Respond to emails and Facebook Messenger inquiries in a professional, timely, and helpful manner. Learn, understand, and accurately explain Highland Humane Society programs, services, policies, and procedures to the public. Answer questions regarding animals in our care, available services, and community resources. Maintain accurate records, files, databases, and organizational documents. Assist with data entry, reporting, scheduling, and other administrative projects. Monitor and manage communication channels to ensure inquiries receive prompt responses. Support organizational operations and initiatives that help animals and the community. Qualifications Strong computer skills and ability to learn new software and systems. Excellent written communication skills with proper grammar, spelling, and professionalism. Strong organizational skills and attention to detail. Ability to work independently and manage multiple tasks effectively. Strong problem-solving skills and willingness to learn. Previous administrative, customer service, or office experience preferred. Ability to work effectively with staff, volunteers, fosters and the public Requirements High school diploma or equivalent required Familiar with using Microsoft Office (Word and Excel) Familiar with using Google- Drive, gmail, calendar etc Strong computer & Typing skills Familiar with and able to learn to use software programs like Calendly, Canva, Facebook, and more. Dependable attendance and a strong work ethic are essential. Ability to sit and work on a computer for extended periods. Ability to communicate professionally with the public through written correspondence. Ability to maintain confidentiality and professionalism. Reliable transportation and consistent availability. Important Information This position requires someone who understands that their work directly affects animals, adopters, pet owners, volunteers, and the overall success of the organization. Prompt communication, reliability, and attention to detail are critical. While in-person and phone interactions with the public are generally limited, they may occasionally be necessary.
