Job Summary We are seeking a dynamic and highly organized Secretarial Professional to join our Construction based business! This vital role offers an exciting opportunity to support executive management and ensure the smooth operation of daily office functions. The ideal candidate will bring energy, professionalism, and a proactive attitude to manage administrative tasks efficiently. Your expertise in office management, exceptional communication skills, and ability to handle multiple responsibilities will contribute significantly to our organizational success. Responsibilities Manage greeting customers and directing them appropriately with excellent phone etiquette and customer service skills. Operate multi-line phone systems, handle incoming calls, and screen inquiries with professionalism and efficiency. Maintain organized filing systems, perform data entry, and ensure accurate record-keeping using tools like Microsoft Office, Google Workspace, and QuickBooks. Assist with calendar management, scheduling appointments, meetings, and coordinating personal or professional engagements for executives or team members. Support office management duties including proofreading documents, managing correspondence, and overseeing office supplies inventory. Provide clerical support such as photocopying, scanning, faxing, and preparing estimates and invoices as needed. Offer customer support by addressing inquiries promptly and professionally while maintaining confidentiality and discretion. Qualifications Proven experience in an office environment with strong clerical skills and familiarity with office management procedures. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and basic bookkeeping software like QuickBooks is a requirement. Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting. Strong typing skills coupled with attention to detail for proofreading and data entry accuracy. Experience working as a medical or dental receptionist or as a personal assistant is a plus. Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette at all times. Knowledge of office equipment operation including fax machines, scanners, and printers.
